An Asset Management App is designed to help organizations efficiently track, manage, and optimize their physical and digital assets throughout their lifecycle. An Asset Tracking App is used borrow assets and track the items.
A small training business that conducts workshops and courses at multiple locations relies on various assets such as laptops, projectors, training manuals, and office equipment. Managing these assets across different venues presents challenges, including keeping track of who is using specific equipment, ensuring items are returned, and maintaining inventory levels of materials. This often results in misplaced items, delays in setup for training sessions, and unnecessary replacements of lost or damaged equipment.
To address these issues, the business has implemented an Asset Management App with tracking that uses QR codes for a check-in/check-out system. Each asset, from laptops to office furniture, is tagged with a QR code, allowing staff to scan and log when an item is taken and returned. This enables the business to track who has each asset, when it was last used, and its current location. The app helps create accountability among employees and ensures that equipment is available and functional for every session.
The app also assists in managing inventory levels of training materials, making it easier to replenish supplies before a workshop. By streamlining asset tracking, the training business reduces losses, improves efficiency, and ensures smooth operations across various locations.
This App is in two parts.
The Asset Management App, allows Asset Managers to keep track of assets assigned to staff, for example, mobile IT equipment, machinery, general office furnishing & other equipment. The Assets Loan Mobile App, is used by staff to borrow assets.
The Asset Management App is designed to be used by Asset Managers. Asset Managers open the Asset Management App in a browser by using a button or link on an Intranet web page. Alternatively the App can be configured as a tab in a Teams channel. Another method of starting the App is by using the installable Power Apps desktop client. Once the App is open, all assets are visible.
The App can display all the assets regardless of status, or only the available assets. A search bar facilitates finding an asset by description. Each asset is colour coded to show availability and status. Click to view the details and status of assets. Details about each asset include financial data, condition, location, and allocation. Relevant documentation can be uploaded as part of the asset record. The App is integrated with Azure Active Directory for allocating assets to staff. The App, features spell check, drop-down options, date and people pickers, all to assist efficient data entry.
On entering a new asset into the App, an Asset folder is created to save photographs, operating manuals, and other documentation.
The Asset Loans Mobile App is used by staff to borrow assets. The app can be used on any smartphone and incorporates a QR code scanner and provision to upload photographs using the smartphone camera.
The status of all assets can be viewed in the App. An available asset can then be selected manually, however, the easiest method, is to use the smartphone to scan the asset QR code.
The borrowers name, duration of loan and asset status is then registered. The asset can be returned, or the duration extended, by simply scanning the QR code again.
