A mobile health clinic operates a fleet of vehicles to provide services in remote areas, and managing this fleet efficiently is crucial. The clinic adopted our Vehicle Management App to simplify fleet operations. This app allows managers to easily add, update, or remove vehicles from the system and assign them to specific drivers. Drivers can use the app to log their trips, report any vehicle issues, and track mileage in real-time, which reduces the need for manual record-keeping and improves accuracy.

The vehicle management system is in two parts. The Vehicle Management App, allows Fleet Managers to keep track of vehicles. The Vehicle Usage App, is used by drivers to record vehicle usage.
Fleet Managers can open the Vehicle Management App in a browser by using a button or link on an Intranet web page. Alternatively the App can be configured as a tab in a Teams channel. Another method of starting the App is by using the installable Power Apps desktop client.
Fleet Managers can choose to display all the vehicles in the fleet, or only the available vehicles. A search bar facilitates finding a vehicle by registration or description.
Each vehicle is colour coded to show availability and status. Details about each vehicle can be displayed, including financial data, condition reports, fuel usage and odometer readings. Relevant documentation can be uploaded as part of the vehicle record.
Staff are selected from the Azure Active Directory. The App, features spell check, drop-down options, date and people pickers, all to assist efficient data entry.
On entering a new vehicle in the App, an Asset folder is created to save photographs, vehicle handbook, registration papers and the like.
The Vehicle Usage App is designed to be used on a mobile device by drivers. An available vehicle can be selected manually, however the easiest method is to use the mobile device to scan a QR code in the vehicle.
Upon entering the vehicle and prior to driving, staff scan the QR code in the vehicle and perform a pre-check. They record the fuel and odometer readings, vehicle condition, and trip times. The driver’s name and status of the vehicle is registered in the trip log.
The vehicle can be returned or the trip time extended by simply scanning the QR code again.
Staff enter the fuel and odometer readings, and perform a post trip inspection. Photos can be uploaded to the App.
